Professional services firms live on intake (who is the client, is there a conflict, what is the scope), delivery (staffing, tasks, deadlines, documents), time and expenses, billing events, and a knowledge base that is not a graveyard of decks. We build the operational spine around those objects. We are not your law firm, auditor or professional regulator. Software can enforce a checklist you define. It cannot replace professional judgment or a required filing.
Why generic PM tools fray in a firm
A Trello card does not know a conflict search, a engagement letter version, a WIP cap, or a partner who must approve write-offs. The matter (or engagement, mandate, sprint-for-hire, use your noun) is the spine: it has a client, a scope document, a team, a billing arrangement (hourly, capped, fixed, success-adjacent if you use it), and a status that finance and delivery both understand.
Intake is where risk hides. New inquiry, conflict or independence check, rate card, proposal, signed letter, kickoff. If that chain is email, you will open work you cannot bill or should not have taken. Automation can move the packet and create the matter; a human still signs the judgment.
Knowledge is a retrieval problem with permissions. A junior should not see every prior deal file. Search that ignores confidentiality is a incident. We treat knowledge as records hung off matters and practices, with ACLs, not as a public wiki with a password.

Questions we hear first
- Can you replace Clio / PracticePanther / a PSA tool?
- Only if those products cannot encode your engagement model. Often we integrate and build the missing intake or portal. Replacing a practice suite is a migration with ethics and records implications, not a weekend.
- Will this make utilization go up by X%?
- No. We can make time capturable and WIP visible. Utilization is management and pricing.
- Do you store privileged documents?
- If in scope, under your instructions, access model and hosting. Privilege is a legal concept your counsel owns. Do not send privileged files to the public contact form.
- Can AI draft client emails?
- Drafts behind a professional’s send button, using matter context they are allowed to see. Unattended outbound is a poor default in this industry.
- Is marketing in scope?
- Inquiry capture and routing can be. Thought-leadership systems are a separate growth or content scope. Partners still have to approve public claims.
